The short answer
For a small Indian team getting serious about AI, expect to spend ₹3,000–8,000 per month all-in. That covers Claude Pro for the people who need it, an n8n server, and modest API usage. Costs scale with volume, not team size — a five-person team running heavy automation can spend more than a fifty-person team using AI casually.
The realistic monthly budget
A typical small-team setup, line by line:
| Item | Monthly cost (₹) | Notes |
|---|---|---|
| Claude Pro × 2 users | 3,600 | ₹1,800/user; 2 users for a small team is usually enough |
| n8n self-hosted VPS | 500–1,000 | Hetzner, DigitalOcean, or AWS Lightsail |
| Claude API usage | 500–2,500 | Highly variable; depends on automation volume |
| Notion Team plan (optional) | 800 | If you’re using Notion as the data backbone |
| Total | ₹5,400–7,900 | For a serious small-team setup |
This is realistic for a five-to-fifteen-person business that’s actively running Claude in workflows. Lighter use can run ₹2,000–3,000. Heavy automation can run ₹15,000–25,000.
Where each cost actually goes
Claude Pro (₹1,800/user/month). This is the single largest line item for most teams. You don’t need it for everyone — give it to the people who use Claude every day. For people who use Claude occasionally, the free tier is enough.
n8n VPS (₹500–1,000). A basic Linux server. Hetzner Cloud and DigitalOcean both have plans in this range. For most small-team workloads, ₹500 is genuinely enough.
Claude API usage (variable). This is the cost that scales with automation. A daily morning briefing for one person costs ₹50–150/month. A multi-recipe automation suite for a sales team can run ₹2,000–5,000. The Claude API charges per token; for budgeting, assume you pay roughly ₹0.05 for every short interaction and ₹0.50–1.00 for a longer one.
Notion / Google Workspace (₹800–1,500). You probably already pay for one of these. Don’t double-count.
What actually drives cost
Three factors:
Volume of automated runs. A workflow that runs 4 times a day costs much more than one that runs once a week. When you set up Cowork tasks or scheduled n8n flows, decide consciously how often they need to fire.
Context size. A workflow that sends Claude a 50-page document costs roughly 50x as much as one that sends a paragraph. For long-document tasks, ask whether you really need the whole document each time.
Model choice. Opus costs 5x what Sonnet does. Haiku costs 1/15th. Pick the smallest model that does the job. We covered this in Models 101.
Typical monthly bills we’ve seen
A few real-ish examples to calibrate your expectations.
Solo consultant with one daily AI workflow. ₹2,000–3,000/month. Mostly Claude Pro plus a bit of API usage for one Cowork task.
5-person digital marketing agency, full automation. ₹6,000–9,000/month. Two Claude Pro seats, n8n server, modest API usage for client reporting and content workflows.
15-person manufacturing SMB, all 10 of our recipes installed. ₹12,000–18,000/month. Three Claude Pro seats, more API usage for higher-volume workflows like inquiry-to-quotation and supplier price tracking.
50-person services firm, AI as core operating system. ₹30,000–60,000/month. Multiple seats, multiple workflows, dedicated infrastructure.
For context: even the highest of these is less than the cost of one full-time junior employee. The economics for AI-assisted small teams in India are genuinely favourable.
How to think about ROI
Don’t try to calculate the precise return on each automation. You’ll drive yourself mad and miss the point.
The right question is: “Is this AI work freeing up at least one hour per week of meaningful time, or producing at least one good outcome that wouldn’t otherwise have happened?” If yes, the cost is worth it. If you can’t answer yes after a month, kill the workflow.
For most teams running our recipes, the time saved per recipe is somewhere between 2 and 10 hours per week. At even modest billable rates, the math works easily.
